An AI agent is not the right tool for every step. Stable, exact rules usually belong in ordinary automation. Model and provider usage costs are separate, and open-ended autonomous actions are outside a focused first build.
How to measure the improvement
Track preparation time, how many drafts need substantial correction, exceptions requiring intervention, and cost per completed job. Time saved only counts if the output is useful enough for the team to adopt.

Before you decide
Will the AI send messages automatically?
The default is to prepare a draft for human review. Any automatic action needs a separately agreed permission, operating rule, and recovery path.
Do we need an AI agent or regular automation?
Use regular automation when the inputs and rules are predictable. AI can help when the job requires interpreting language, summarizing context, or preparing a draft. A useful workflow often combines both.
What happens when the model is wrong?
The system should make its output reviewable, show the source context where useful, and escalate uncertain or incomplete work. Testing and human oversight reduce risk; they do not make model outputs infallible.
